Important Notice Regarding Text Messaging Data

Lead Task Force LLC ("we," "us," or "our") DOES NOT share customer opt-in information, including phone numbers and consent records, with any affiliates or third parties for marketing, promotional, or any other purposes unrelated to providing our direct services. All text messaging originator opt-in data is kept strictly confidential.

1. Who This Policy Covers

This Privacy Policy applies to Lead Task Force LLC, operating under the brands RevGuardOS and Frontline Sites, and covers:

  • Our website at leadtaskforce.com
  • Our services provided to fitness studio, gym, and martial arts academy clients ("Clients")
  • SMS, email, and other communications sent on behalf of our Clients to their members, customers, and leads ("End Users")

If you are a member or customer of a gym, studio, or fitness business that uses RevGuardOS, this policy explains how we, as the service provider to that business, handle data on their behalf.

2. Information We Collect

From Our Clients (Gym/Studio Owners)

  • Business information: business name, address, contact information, billing details
  • Account credentials and integration data for connected platforms (e.g., Mindbody, PushPress, Wodify, Zen Planner, QuickBooks, Square, Stripe)
  • Payment information for subscription billing and deposit processing

On Behalf of Our Clients (About Their End Users)

  • Personal information: name, phone number, email address
  • Membership and billing data: membership type, payment status, payment amount, invoice details, amounts owed
  • Communication records: opt-in timestamps, message history, response history
  • Engagement data: trial sign-up dates, class attendance triggers, milestone events, review requests

From Our Own Website

Non-personal information: IP address, browser type, device information, website usage patterns, analytics, and cookies.

3. How We Use Your Information

We use collected data to:

  • Provide and operate RevGuardOS and Frontline Sites services on behalf of our Clients, including automated payment recovery, invoice collection, trial conversion, review generation, and website/booking delivery
  • Process subscription payments, refundable deposits, contingency-based collection fees, and one-time build fees
  • Communicate with End Users via SMS and email regarding payment status, trial offers, and account-related matters, strictly on behalf of and at the direction of our Clients
  • Generate performance reports for our Clients
  • Maintain records of consent and opt-in/opt-out status
  • Improve our own website, services, and security

We do not use End User data collected on behalf of a Client for our own independent marketing purposes, and we do not combine End User data across unrelated Clients for any purpose outside of providing services to the Client who submitted that data.

4. SMS Messaging & Compliance

Text Message Program Terms & Conditions

By opting in to SMS messaging from one of our Clients (a gym, studio, or fitness business using RevGuardOS), you agree to receive text messages related to that business's services, including payment reminders, invoice notifications, trial and membership communications, review requests, and customer support.

Opt-In & Consent

Messages are sent only to individuals who have an existing relationship with our Client (e.g., active or former members, trial participants, or customers with an outstanding invoice) or who have explicitly opted in through a form. We maintain timestamped records of all opt-in actions and message history. We comply with the Telephone Consumer Protection Act (TCPA) and all applicable laws.

Opt-Out Instructions

You can cancel SMS notifications at any time by replying "STOP." You will receive a final confirmation message, and no further messages will be sent unless you re-opt in. All opt-out requests are processed immediately and apply specifically to communications from the Client business that sent the message.

Message Frequency & Content

Message frequency varies based on the specific workflow active for that Client (e.g., an AI Receptionist lead-response conversation, a trial-conversion sequence, a review-generation request, a win-back sequence, or an AR Collections recovery sequence). Messages are directly related to your relationship with that business. We do not send unrelated promotional content.

Carrier Information

Standard message and data rates may apply. Carriers are not liable for delayed or undelivered messages. Supported carriers include AT&T, Verizon, T-Mobile, and most regional carriers.

SMS Data Protection Statement

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support of service delivery (such as our messaging and CRM platform provider) is permitted solely to deliver the services our Clients have engaged us for. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties beyond what is necessary to deliver the messaging service itself.

5. Information Sharing & Disclosure

We do not sell, rent, or trade personal information. We do not buy, sell, or generate leads using End User data. We may share information only with:

  • Our Clients: the gym, studio, or fitness business on whose behalf we are sending communications and processing payment-related data. This is the core function of our service.
  • Service Providers: third-party vendors who support our operations, including our CRM and messaging platform (GoHighLevel), payment processors (such as Stripe), workflow automation tools (Zapier, Make.com), and SMS delivery aggregators. All service providers are contractually obligated to maintain confidentiality and security.
  • Legal Compliance: if required by law, legal process, or to protect our rights, or in response to valid law enforcement requests or court orders.
  • Business Transfers: in the case of a merger, acquisition, or sale of assets, in which case your data remains protected under the terms of this policy or a successor policy with comparable protections.

All the above categories exclude text messaging originator opt-in data and consent beyond what is necessary to deliver the messaging service; this information will not be shared with any third parties for marketing or unrelated purposes.

6. Payment Processing & Financial Data

Lead Task Force LLC processes payments for:

  • Monthly subscription fees (AI Receptionist, Core, and Elite tiers)
  • Refundable deposits collected at signing
  • Contingency-based fees for AR Collections engagements, calculated as a percentage of funds actually recovered
  • One-time build fees for Frontline Sites engagements

Payment processing is handled through a third-party payment processor. We do not store full payment card numbers on our own systems. Deposit refund eligibility and conditions are governed by the applicable Service Order and our Terms of Service.

7. Data Security

We implement and maintain reasonable security measures to protect personal information, including encryption of sensitive data in transit and at rest, secure access controls and authentication mechanisms, regular security assessments, employee training on data protection, breach notification protocols in accordance with applicable law, and secure backup and disaster recovery procedures.

Despite these measures, no method of transmission over the Internet or electronic storage is 100% secure. We strive to use commercially acceptable means to protect personal information but cannot guarantee absolute security.

8. Cookies & Tracking Technologies

We use cookies and similar technologies on our own website to analyze site traffic and user behavior, remember preferences, improve website functionality, and measure the effectiveness of our marketing. You may control cookies through your browser settings. Disabling cookies may limit certain website features.

9. Your Rights & Choices

You have the right to: access, update, or delete your personal information; opt out of marketing emails by clicking "unsubscribe"; opt out of SMS messages by replying "STOP"; request information on how your data is processed; withdraw consent at any time for future communications; and lodge a complaint with a supervisory authority if you believe your rights have been violated.

If you are an End User (a gym member or customer) and want to exercise these rights, please contact the gym or studio directly, as they are the business relationship you have a direct account with — or contact us at the information below and we will route your request appropriately.

10. Third-Party Links

Our website may contain links to third-party websites. We are not responsible for their privacy practices and encourage you to review their policies. This Privacy Policy applies only to information collected by Lead Task Force LLC.

11. Changes to This Privacy Policy

We may update this policy periodically. The latest version will always be available on our website with the effective date. For significant changes, we will notify Clients by email or through a notice on our website.
